Step 1-Prepare for the Review/Discussion
Schedule the Review
- Schedule the performance review for a block of sufficient uninterrupted time
- Meet in a place that enables a professional and comfortable discussion
Request Self-Assessment from Employee
- Schedule the employee meeting in advance for the employee to be prepared
- Request the employee complete a self-assessment
Collect and Review Information
Prepare a specific, descriptive, objective evaluation with examples to back it up. Include both positive and development examples. Refer to the following to prepare:
- Employee’s deliverables for the review period with documentation of the progress/results
- The One-on-One Status Report Form that was completed throughout the year
- Comments from others who know the work of your employee (specific examples regarding work performance issues)
- Letters of commendation
- Employee’s self-assessment
Compare Performance to Standards
Write your description of how well the employee achieved the established goals, duties, and University values (Sections 2 and 3). For each function, consider:
- How did the employee perform over the entire evaluation period?
- How does the employee’s level of performance compare with the agreed-upon performance standards?
- How was the level of performance confirmed? Did you observe it? Did the employee report it? Are there independent measures or work products?
- What were the consequences, results and impact of the performance?
